Warehouse Open

Open is the quantity of an item you have minus the quantity released to fulfill Orders. In other words, On Hand minus Released. Open is an option in Warehouses Add-On.

Big Business records that a Sales Order is Placed and sets Qty Open for items ordered. Qty Open is added to Allocated, which is subtracted from On Hand to find Available.

Allocated is the Qty you owe for Placed or Partial orders and is cleared when invoiced. For MRP, you might change the Label for Allocated to a name like Demand for clarity.


  Item Allocations

Item Allocation is automatic and determines what is available and needed for all orders.

Item Allocations set Allocated, Available, Needed for items on all Orders when Placed. These Qty's appear on the Item, Items search, and reporting for your whole inventory.

To keep real-time inventory, Item Allocations are recalculated when order are changed.
When orders are invoiced or change, Item Allocations are updated to new requirements.


  Warehouse Allocations

Warehouse Allocation occurs when an order is Released to a warehouse for fulfillment.

Mark Released is an option in the Orders list to update open orders to Released status. Pre-Release is a checkbox on the Expanded tab of the Order to update select line items.

Release or pre-release allocates inventory for the order to block its being sold to others. Open amounts for the item or its components are reduced to show reduced availability.


  Warehouse Counts

Warehouse Counts help track items through any production and fulfillment processing.

Components can be available to sell as Open stock, reserved as Released or pre-release by orders, Picked for assembly into Build or Auto-Build items, and in turn be Shipped.

Finished goods can be Open and avail. to sell, reserved by Release or pre-release items on orders, Picked for production and packaging, and Shipped and waiting for invoicing.


  Backorder Qty

Backorder Qty is the amount of an Open Qty that you chose to ignore when Released.

Pictured, the Backorder has been keyed in as 7 and the Pre-release checkbox is clicked, which calculates Release to be 3. Saving the order as Placed will set the item Released.

Backorder Qty can be used without Pre-release to calculate when the order is Released. An option to link the Backorder Qty to an open Purchase Order may be added in time.


  Release Qty

Release Qty shows the amount of Qty Open that is counted as Released to warehouse.

Release Qty is automatically set to Open Qty (10) minus any Backorder (7) you enter. Release Qty is calculated when the Pre-release checkbox is set, or the order is Released.

Release Qty is recalculated when the Open Qty is reduced or zeroed by other activity. Saving an order On Hold, editing a Qty, or invoicing an order, all clear the Release Qty.


  Pre-Release Checkbox

Pre-Release is a checkbox on the Expanded tab of the Order to update select line items.

If the order is saved as Placed, items with the checkbox are included in Released Count. This reserves the item and its needed components in the same way as a Released order.

If the order is updated to Released status the checkbox is not needed. The checkbox is helpful when waiting on other items, to reserve the checked items so they are not sold.


  Order Release

Order Release functions designate items on order to be reserved, picked, built, shipped.

Mark Released is an option in the Orders list to update open orders to Released status. Pre-Release is a checkbox on the Expanded tab of the Order to update select line items.

If you are Planning, so bulk or special orders await POs, Release is pushing out others. Backorder and Release options can help optimize inventory and coordinate purchasing.


  MRP Screens

MRP Screens options add content or formatting to tools like Allocated for Warehouse.

Allocated for Warehouse shows a complete list of component need for all open orders. Include Negatives calculates in substitutions recorded as a negative qty of component. Leave this setting off if you want to use negative quantities on orders to track RMAs.

Status options let you use Released and Shipped statuses for orders to fast-track them.


  MRP Automation

MRP Automation options allow automatic updates, which enable better real-time data.

Statuses for Orders include Released, Picked, and Shipped, so it makes sense to update to Shipped status when Tracking information is received from your shipping systems.

There are options for handling exceptions for partial shipment, backorder, and review.
